Connects via official HubSpot and Xero OAuth — you sign in on their pages, and we only receive the access tokens they issue. Invoices are created as drafts — you approve them in Xero before anything is sent.

You close a deal. Then you open Xero, create an invoice, and retype every line item — descriptions, quantities, unit prices — and pick the revenue account by hand. Every deal. Every week. One typo and the invoice, the amounts or your revenue reporting are wrong.

The native HubSpot–Xero integration doesn't fix this: it doesn't turn deals or quotes into invoices, and it can only post to a single fixed revenue account. Users have been asking for exactly this in the HubSpot Community since 2023:

Since Xero retired its own HubSpot connector in March 2026, the remaining options are the limited native sync — or tools priced for bigger teams, starting at US$49/month. Connect your accounts.

Sign in to HubSpot and Xero through their official OAuth flows — you enter your credentials on their pages, never on ours. Takes a few minutes.

Tell QuotesBridge your rules.

Type in the ID of the deal stage that should trigger an invoice (for example, closedwon), then enter your product → Xero revenue account pairs as simple text mappings, plus one default account code as a fallback for anything unmapped. Plain text fields you fill in yourself — v1 doesn't pull the lists from HubSpot or Xero for you.

Close deals. Approve drafts.

Every deal that reaches your trigger stage becomes a draft invoice in Xero, usually within a couple of minutes — with the deal's line items and the revenue account your mapping says. You review and approve it in Xero, and can re-sync a fix with one click. Heads-up: the very first sync also picks up deals already sitting in the trigger stage when you finish setup, so expect drafts for those too — review or delete them in Xero like any other.

Invoices are legal documents. QuotesBridge does the tedious part — the retyping — and leaves the judgment to you. Nothing reaches your client until you approve it in Xero.

Description, quantity, unit price — copied faithfully from the deal to the draft. What you sold is what gets invoiced.

Questions

Does QuotesBridge send invoices to my clients?

No — and that's deliberate. It creates draft invoices in Xero. You review, adjust if needed, and approve/send them in Xero exactly as you do today.

Do you see or store my HubSpot or Xero login details?

No. Both connections use the platforms' official OAuth — you sign in on HubSpot's and Xero's own pages, and we store only the access tokens they issue, encrypted at rest. You can revoke QuotesBridge's access at any time from your HubSpot or Xero account settings, and you can ask us to delete your QuotesBridge account and its data by emailing jairosales@me.com.

Which deal stage triggers an invoice?

Whichever you choose — you type its stage ID into QuotesBridge during setup. Most teams pick Closed Won, but any stage in your pipeline works. One trigger stage per account in v1.

Will deals already in my trigger stage create invoices?

Yes — the first sync picks up every deal sitting in the trigger stage at the moment you finish setup, including older ones. If you don't want drafts for old business, move those deals out of the stage before connecting. Since everything lands as a draft, nothing is ever sent to a client automatically — worst case, you delete a few drafts in Xero.

What happens to line items without a mapped product?

They go to the default revenue account you set during setup, so no invoice fails just because a product wasn't mapped. Update the mapping and re-sync at any time.

Multi-currency? QuickBooks? Two-way sync?
